What does the tracker and MDVR tender spec matcher do?
A tender asks for dozens of technical lines. Answering each one from scratch takes days, and one missed line can cost the bid.
This tool builds a first draft of your technical requirements matrix. You tick lines from a library of common IVMS requirements, paste lines from your own tender, or do both. It gives three results:
- Your requirements: how many lines you have, by area, and which pasted lines found no match.
- Technical requirements matrix: one row per line, with its status and the document to ask Tracom for.
- What to raise with Tracom: every line that is not yet listed, ready to send with your tender number.
The tool never says a line is compliant. It sorts lines into those listed by Tracom and those to confirm. Tracom sets each status from its datasheet.
What do you enter?
| Input | Where to find it | Tip |
|---|---|---|
| Ticked library lines | The tender or your safety program | Tick only what the tender asks for. Use Select all for an area, then clear what you do not need. |
| Pasted lines | The tender document | One requirement per line. Clause numbers are kept as the reference. Up to 60 lines. |
| Tender name, operator, vehicles, deadline | The tender cover page | Optional. They appear in the report so the matrix is easy to file. |
How are pasted lines matched?
Each library line carries short keywords in English and Arabic. For every pasted line the tool counts keyword hits and picks the library line with the highest score. If two lines tie, the first in the list wins.
A line that matches nothing is kept as a line to read by hand. It stays a requirement to confirm. The tool matches words, not meaning, so read each match before you rely on it. A pasted line that matches a library line you also ticked is marked "Also ticked in the library".
Arabic is normalized before matching, so spelling variants of the same word match. Digits in any script are read as the same number.
What does each status mean?
Tracom keeps a capability list for this page. Tracom staff fill it from the datasheet, line by line. Until they do, every line shows "Requirement to confirm".
- Listed by Tracom
- Requirement to confirm
- Not listed
| Status | What it means | Who sets it |
|---|---|---|
| Requirement to confirm | Nothing is confirmed yet. Ask Tracom for the document. | Default for every line |
| Listed by Tracom: device | Tracom lists the line for its device. | Tracom, from the datasheet |
| Listed by Tracom: platform | Tracom lists the line for its platform. | Tracom, from the datasheet |
| Partly listed, to confirm | Tracom lists part of the line. Ask which part. | Tracom, from the datasheet |
| Not listed by Tracom | Tracom lists no support for the line. Raise it with your client. | Tracom, from the datasheet |
Worked example: five tender lines
The page opens with eight ticked library lines and five example tender lines. The example lines are matched like this:
- 4.2.1 "log position every second" matches Position every second or at a short interval.
- 4.2.2 "seat belt use" matches Seat belt monitoring.
- 4.3 "driver identification" matches Driver identification.
- 5.1 "speed limit is exceeded" matches Over-speed alert.
- 5.4 "satellite phone" matches nothing, so it is a line to read by hand.
- Total: 13 lines, all requirements to confirm until Tracom fills its capability list.
How do you read the results?
- Listed by Tracom counts the lines whose status is device or platform. It is 0 until Tracom fills its list.
- The verdict says "Lines to confirm with Tracom", "Some lines are not listed" or "All lines are listed". It never says compliant.
- Document to attach is what to ask Tracom for, for example a datasheet page or a sample report.
- Lines to read by hand are pasted lines that matched nothing. Tell Tracom what they ask for.
Assumptions and limits
The library lines are short paraphrases of common IVMS wording. They are not quotes and do not say what any standard, operator or authority requires. The source column is only a hint about where similar wording is common. Wording in newer versions of a standard, or in a client's contract, may differ: check the original document. The tool does not state that any Tracom device or platform meets a line, and it does not state any approval or certificate. Tracom confirms each line from its datasheet.
