Preventive maintenance and device health audit

Find the silent trackers, the dirty camera lenses and the full SD cards before a client audit or an incident does. One row per device, eleven checks (ten you answer, one calculated), one calculated status.

Free: enter your name and email and we send you the file. Works in Excel, Microsoft 365, Google Sheets and LibreOffice Calc. No macros.

What the audit sheet looks like

Answer ten checks per device. The sheet calculates the eleventh, the last report check. It then counts, decides the status and sets the next audit date.

The checks

Eleven checks, no device specifications

Ten checks are yours to answer and the last report check is calculated. The checks are generic. Healthy values, such as battery voltage, come from your device datasheet.

Checks in the audit
CheckWhat you confirmAnswer
Last reportHours since the device last reported, from your platform.Calculated against your limit
Power and fuseSupply present, fuse seated, no loose connector.OK, Check, Fail or N/A
Backup batteryHolds the device when the main supply is cut. Write the measured value in Notes.OK, Check, Fail or N/A

Typical settings: 24 hours quiet, audit every 6 months. Set your own policy.

Why audit tracking devices and cameras?

A device can stop working without anyone noticing. The vehicle drives, the driver sees nothing wrong, and the platform simply shows an old position. The same is true for a camera lens covered in dust or an SD card that stopped recording. You find out after an incident, when the footage is not there.

A periodic audit finds these before they matter. It also leaves a dated record that you checked.

How to use the sheet

  1. Check the Settings sheet. Change the quiet-period limit, the audit interval and the repair limit to your policy.
  2. Read the last report time from your platform. Do it just before you inspect the device.
  3. Answer all ten checks. Use N/A for a part the device does not have. A blank check makes the row Incomplete.
  4. Copy findings to the Actions sheet. Name who is responsible and a due date for each one. The sheet marks it Overdue when the date passes.
  5. Read the Summary. It counts healthy, action needed and repair or replace, and shows which check fails most.

How the status is decided

Incomplete if the date, the last report or any check is missing
Repair or replace if failed checks >= the repair limit
Action needed if any check is Check or Fail
Healthy otherwise72 h quiet, limit 24 h x 3 = CheckLast report: up to the limit is OK, up to the limit times the multiplier is Check, longer is Fail.

Your technician makes the final decision. The status is a suggestion that makes sure nothing is skipped.

How often should you audit?

Many fleets audit every 6 to 12 months, and more often for devices on critical contracts. This is a common practice, not a rule from any client or regulator. Set the interval that fits your risk and your contract, and verify it against your client's current text.

Keep it quick

Audit while the vehicle is in the depot for another reason, such as a service. It takes minutes per device.

Limits of this sheet

It records and decides a status. It does not read a device, does not know what a healthy voltage is for your model, and does not fix anything. Take healthy values from your device datasheet.

Fewer silent devices from day one

Tracom designs devices to be checked from the platform and from the workshop. Ask us which indicators, reports and update options your model offers, then add them to the Notes column.

  • SCMS portal. See the last report of every device in one place.
  • Over-the-air updates. Bring firmware up to date without a workshop visit.
  • Tamper-proof security. Record tamper signs and disconnections for the audit.
  • Second-by-second data. Detail to see when a device went quiet.
Questions

Device audit questions, answered

Need the indicator meanings for your Tracom devices? Talk to Tracom.

Does the file contain device specifications?

No. The checks are generic. Take healthy values, such as battery voltage or storage details, from your device datasheet.

Is a 6 to 12 month audit required?

Not by this file. It is a common practice, and the interval is a typical setting you can change. Your client or contract may say otherwise, so verify it.

What counts as a quiet device?

One whose last report is older than your limit. The default is 24 hours, with Fail at three times that. Both are settings.

Can I audit MDVRs and cameras with it?

Yes. Choose the device type, and use the camera view and storage checks. Use N/A for a tracker without a camera.

Does it work in Google Sheets?

Yes. Upload the .xlsx file to Google Drive and open it with Google Sheets. It also works in Excel and LibreOffice Calc.

What is Tracom's role here?

Tracom makes the devices. The sheet is a record-keeping tool. It does not say that any device meets a client requirement or a standard.
