Sensor calibration due-date register: fuel, weight and temperature

A fuel probe, an axle load sensor or a temperature probe is only as good as its last calibration. Track each sensor by serial number: when it was calibrated, against which reference, what error was left, and when it is due again.

Free: enter your name and e-mail and we send you the file. Works in Excel, Microsoft 365, Google Sheets and LibreOffice.

What is in the calibration register?

Seven sheets. Log each calibration once, and the register works out the next due date and the status of every sensor.

  1. 01

    Sensor register

Vehicle, sensor type, position, serial, device IMEI and method. Last calibration, certificate, result, next due date, days left and status come from the log.

  2. 02

    Calibration log

Date, serial, reason, reference used and its certificate date, error found and error left, tolerance, result and certificate or report number.

  3. 03

    12-month plan

Calibrations due in each of the next 12 months by sensor type, plus overdue and recalibrate-now counts.

  4. 04

    Change triggers

Tank replaced, probe moved or cut, suspension or axle work, device replaced, readings drift: any of them sets Recalibrate now.

  5. 05

    Summary

Sensors by status, failed calibrations and calibrations done against an expired reference.

  6. 06

    Settings, Start here and Lists

Interval, tolerance and error unit per sensor type, the due-soon window, the color legend and the drop-downs.

How it runs

From calibration to the next due date

  1. List the sensors

One row per installed sensor with its serial number, vehicle, position and device.

  2. Log each calibration

Write the reference used, its certificate date, the error found and left, and the certificate or report number.

  3. Mark changes

When a tank, a probe, an axle or a device changes, choose it in the register. The sensor turns to Recalibrate now.

  4. Book from the plan

Use the 12-month plan to book the workshop and the reference equipment ahead.

Why track calibration dates?

A tracker passes on whatever its sensors report. A fuel probe on an old tank table, a load sensor after axle work or a temperature probe checked against an expired thermometer still sends numbers, and those numbers end up in theft cases, overload checks and cold-chain records. A register shows which readings you can still trust.

How does the status work?

Last calibration = latest log date for the serial Next due = last calibration + interval (months) Status = No calibration on file if the serial has no log row = Recalibrate now if a change is recorded = Failed: fix and redo if the last result failed = Overdue if the next due date has passed = Due soon if it is within the window = OK otherwiseExample: calibrated 2025-11-20 with a 12-month interval: due 2026-11-20. On 2026-10-31 that is 20 days away, inside the 30-day window: Due soon.

When is a calibration a pass?

Write the error left after calibration in the same unit as the tolerance: percent of the tank, percent of the reference load, or degrees Celsius. The result is Pass when the absolute error left is within the tolerance for that sensor type, and Fail otherwise. Keep the error found as well: a large error found tells you the interval is too long.

Why does the reference matter?

A calibration is only as good as the meter, weights, weighbridge or thermometer used. The log asks for the reference's certificate date and flags Reference expired when it is earlier than the calibration date. Repeat those calibrations with a valid reference.

Which changes need a new calibration?

  • A new, modified or replaced fuel tank.
  • A fuel probe that was cut, moved or replaced.
  • Suspension or axle work under a load sensor.
  • A replaced tracker that reads the sensor.
  • Readings that drift from fuel receipts, weighbridge tickets or a reference thermometer.

Limits

The intervals and tolerances in the file are typical starting points, not values from a standard or from any sensor's datasheet. Where a customer, a contract or a regulator sets its own interval or certificate rules, follow their current text. The register does not perform or certify a calibration.

Sensor calibration register questions

Fitting fuel, load or temperature sensors? Talk to Tracom.

How often should a fuel sensor be calibrated?

The file uses 12 months as a typical interval, plus a new calibration after any tank or probe change. Use the sensor maker's instructions or your contract when they say otherwise.

Can I set a different interval for one sensor?

Yes. Write it in Interval override on that sensor's row. The type default in Settings stays for the others.

What if the reference certificate had expired?

The log shows Reference expired on that row and the summary counts it. Repeat the calibration with a reference that has a valid certificate.

Does it build the fuel tank table?

No. It tracks dates and results. To build the tank table, use the Fuel Tank Calibration Table Generator and the calibration field sheet on this site.

Is temperature probe calibration covered?

Yes, as one sensor type with its own interval and a tolerance in °C. Where a customer or regulator sets certificate rules for cold-chain probes, follow their current text.

What is Tracom's role here?

Tracom supplies trackers and sensors and can advise on fitting. The register works with any sensor. It does not calibrate anything, and it does not certify a sensor or a reading.
