Odometer vs GPS distance check for rental disputes

Does the odometer agree with the distance the tracker recorded? Check the gap against a tolerance before you charge or dispute a rental. Then work out the extra kilometers and any out-of-area fee. Every rate and allowance is yours to enter.

This tab uses the odometer readings and the terms from the first tab. Enter the distance from the tracker trip report for the same dates.

km

From the trip report, from pick-up to return.

%

How far the two distances may differ before you check them.

Typical value for the tolerance. Agree your own with the other side.

How this is calculated
Difference = tracker km - odometer km Deviation = difference / odometer km Agree if the deviation is within the tolerance The charge is worked out on both distances

What does the rental mileage calculator do?

Many rental agreements give a daily distance allowance and charge for each kilometer above it. The calculator works out the extra charge, the out-of-area fee and the total that the renter pays or the company bills.

Two more tabs help you decide between a limited and an unlimited plan, and compare the odometer with the distance recorded by a tracker. Renters can use it before they sign. Rental companies can use it to show a customer how a charge was reached.

Gulf News reported a case in Abu Dhabi where a renter drove twice the distance allowed in one day and was charged for each extra kilometer plus VAT under the contract. The Abu Dhabi Commercial Court ordered him to pay the amount due. Source: Gulf News, read again on 3 November 2026. The judgment itself is not published, so this is a news report only. It is one reported case, not a rule. It shows why the allowance, the rate and the VAT are worth checking before you sign.

Limited plan or unlimited plan?

An unlimited plan adds a daily supplement and removes the extra-kilometer charge. It pays when you expect to drive further than the break-even distance.

Limited plan

Allowance plus a charge per extra km

You pay
Nothing extra up to the allowance
Then
Rate x extra km, plus VAT
Watch for
A long trip on the last day
Good for short or local rentals.

Unlimited plan

A daily supplement, no distance charge

You pay
Supplement x days, plus VAT
Then
Nothing for distance
Watch for
Fair-use clauses in the agreement
Good for long trips, if the agreement has no hidden cap.

How is the charge calculated?

Allowance, distance and charge

Allowed km = days x allowed km per day + extra free km Driven km = odometer at return - odometer at pick-up Extra km = max(driven km - allowed km, 0) Extra charge = extra km x rate per extra km VAT = extra charge x VAT % Out-of-area fees = days outside x daily fee + flat fee (days capped at the rental days) Total = extra charge + VAT + out-of-area fees

Plan comparison and proof

Unlimited cost = supplement x days x (1 + VAT %) Break-even distance = allowed km + supplement x days / rate Deviation = (tracker km - odometer km) / odometer km

Worked example: five days, one day out of area

The default values are examples, shown here as plain numbers before any currency conversion: 250 km a day, 1.00 per extra kilometer, a 150 fee for each day outside the area, and a 40 daily supplement for an unlimited plan.

  • Allowed: 5 x 250 = 1,250 km. Odometer 41,230 to 42,710 gives 1,480 km driven.
  • Extra distance: 230 km x 1.00 = 230. One day out of area: 150. Total 380.
  • Unlimited plan: 40 x 5 = 200, so it saves 30. The break-even distance is 1,250 + 200 / 1.00 = 1,450 km.
  • Tracker proof: the tracker says 1,462 km against the odometer 1,480 km. The difference is −18 km (−1.2%), inside the 2% tolerance. On the tracker distance the extra charge would be 212, which is 18 less.

How do you read the results?

Inside the allowanceOver the allowanceDistances agreeCheck the distance
  • Total is the extra charge, VAT and the out-of-area fees. It does not include the daily rental price.
  • Percent used in the verdict compares the distance driven with the allowance. Above 100% the extra charge starts.
  • Break-even distance is where both plans cost the same. Drive less and the limited plan is cheaper. Drive more and the unlimited plan is.
  • Check the distance means the odometer and the tracker differ by more than your tolerance. Look at the causes below before you dispute a charge.

Why can the odometer and the tracker differ?

  • Tire size and wear change what the odometer reads against the real distance.
  • A tracker works out distance from position fixes. Gaps in the signal or smoothing can shorten or lengthen it.
  • The tracker was off or lost power for part of the rental.
  • The tracker report starts at a different time from the pick-up reading.
  • A faulty or replaced odometer.

The agreement says which distance counts. Most agreements name the odometer. If yours names the tracker, say so on the pick-up form.

Assumptions and limits

The calculator uses only the terms you enter. Rental rules and contract wording differ by country and by company. Check your own agreement and the rules of the authority that licenses rental companies in your country, and verify them against the current official text. Whether a vehicle may leave a country or an area, and what permit or insurance applies, is set by the agreement and the authorities, not by this tool. The calculations run in your browser. Your inputs are sent to our server, and kept for up to 45 days, only if you ask for the emailed report.

Prove the kilometers with a tracker

A Tracom tracker logs position fixes with time stamps. A trip report for the contract dates then sits beside the pick-up and return readings, so a distance dispute starts from a record.

  • Trip distance for the contract dates, from the position log.
  • Position history that shows where the vehicle was on each day.
  • Advanced geofencing to mark the permitted area and see when the vehicle leaves it.
  • Configured through the SCMS portal with updates over the air (OTA).
Questions

Rental mileage questions, answered

Run a rental fleet? Talk to Tracom.

How is the extra mileage charge calculated?

Subtract the allowed distance from the distance driven, then multiply the extra kilometers by the rate in your agreement. Add VAT if the agreement says it applies.

Is the allowance per day or for the whole rental?

It depends on the agreement. If it gives one total, enter it as the extra free distance and set the daily figure to 0.

Is an unlimited plan worth it?

It pays if you drive further than the break-even distance: the allowed distance plus the supplement for all days divided by the rate per extra kilometer. The Unlimited plan tab works it out.

Can I take a rental car outside the permitted area or the country?

Only if your agreement allows it. Some agreements need written permission, an extra fee or different insurance. Ask the company before you travel and keep the answer in writing.

Why do the odometer and the tracker show different distances?

They measure in different ways. The odometer counts wheel turns. A tracker works out distance from position fixes. Small differences are normal, so set a tolerance and check larger ones.

What is Tracom's role here?

Tracom makes trackers. This calculator uses the terms you enter. We do not know your agreement, we do not set rental charges, and we cannot say whether a charge is lawful. Your agreement and the rules in your country decide that.
