How to use it

From the first decision to a signed form

  1. Decide with legal

Fill Part A: what is fitted, why, who sees it. Ask legal about children's data and consent.

  2. Write the letter

Copy your answers into Part B. Replace every bracket and keep the sentences short.

  3. Send it home

Send the letter and Part C before the first trip with cameras. Put a notice on each bus.

  4. File and answer

Log every returned form in Part F. Use Part D for parent requests and log every time footage is opened.

Notice or consent for a child?

A notice tells parents what you do. A consent asks them to agree. For children, the rules on who may agree, and whether consent is needed at all, depend on the country and on the legal basis the school uses. Many schools lead with a notice and an acknowledgement, and ask for consent only for optional items. This is our reading and it needs legal confirmation for your country. The file follows that structure: Part C confirms receipt and has an optional section.

Where the cameras point

Say plainly where each camera points and when it records. A camera on the aisle, the door and the road is easy to explain. Do not point a camera at a place where children change clothes. Say whether the bus records sound, because many parents care about it, and ask your legal adviser whether you may.

A clip about one child usually shows other children too. Decide before the first request what you will show, to whom and how. Part D records the request and the decision, and Part F2 logs every time footage is opened.

Live bus location for parents

If parents can follow the bus in an app, say so in the letter. Decide what they see, for example the bus on the map and the estimated arrival, and what they do not see, for example the camera video. Check your platform settings before you promise anything.

Limits of this template

The file gives you structure and wording to edit. It cannot choose your legal basis, say who may consent for a child, judge your retention periods or tell you what your education authority requires. It does not say that your buses or your letter meet any law.

Questions

Parent notice and consent questions, answered

Need the device side? Talk to Tracom.

Do I need the parents' consent?

Not necessarily. It depends on your country, your legal basis and the item. Many schools use a notice and an acknowledgement, and ask for consent only for optional items. Ask your legal adviser. This file does not say that any law is met.

Can I show a parent the camera footage?

Often the clip shows other children too. Decide the rule first, with legal advice. Part D records the request and the decision, and the access log records who opened the footage.

Can I use it for a bus contractor and not a school?

Yes. Replace "school" with the operator name and add the school as a second party in Part A. Agree with the school who sends the letter and who answers parents.

Can I use it without cameras?

Yes. Leave the camera lines unticked or delete them. The tracking parts stand on their own.

What retention period should I write?

We do not suggest one. Choose a period for each kind of data with legal advice, and check the rules of your education and transport authorities.

What is Tracom's role?

Tracom makes tracking devices and video recorders. It does not choose your basis, your letter or your retention periods, and it gives no legal advice.
