DSM/ADAS clip coaching session script and log

A clip only changes behavior if someone coaches on it. Review and log each DSM or ADAS event, decide which clips to coach first, run the session with an 11-step script and log the outcome.

Free: enter your name and email and we send you the file. Works in Excel, Microsoft 365, Google Sheets and LibreOffice Calc. No macros.
How it works

From a recorded event to a coaching session

You review and log each event. The workbook counts confirmed events per driver in your review period, and you decide whom to coach first.

What's inside

Nine sheets, one workflow

The playbook and the script are text to print. Events, Drivers, Coaching log and Summary are the working sheets.

Ten event types, each with severity and points

Speeding, harsh braking, harsh acceleration or cornering, phone use, drowsiness, seat belt, close following, lane departure, a covered camera and one type you define. Severity and points are yours to edit.

Write in Settings the exact alarm name your platform shows for each type. The file does not say which alarms any Tracom device raises.

Which clips should you review first?

Review serious events and repeats before routine ones. The playbook sheet gives a simple grid of severity against repeats in the period: a serious event the second time is reviewed first, a minor event the first time is a routine review. It is a guide to order, not a rule.

How do you run a coaching session?

The script sheet has 11 steps and takes about 35 minutes:

  1. Prepare: watch the clip alone and choose one behavior.
  2. Set the place: private, phones away, sit beside the driver.
  3. Open, then watch the clip together once.
  4. Ask an open question, listen and acknowledge.
  5. Share the data, agree a different action and the support needed.
  6. Record, set a follow-up date and close.

Each step has example words you can use or replace. If the driver disputes the clip, note the comment and ask for a second review.

How do you know coaching works?

The Summary sheet compares confirmed events per 100 km before and after coaching. You type the events and the distance for both periods and the sheet shows the change. A fall can have other causes, such as season, routes or vehicles, so read it with care.

Limits of this template

It organizes your own review and coaching. It does not detect events: that is done by your camera system and platform. Use clips only as your camera and privacy policy allows. Tampering and hiding a fault are handled under company policy, not by coaching. The limits are placeholders, not a requirement of a regulator or a client.

Questions

Video coaching questions, answered

Want cameras that raise driver events? Talk to Tracom.

Are the severities and points a standard?

No. They are typical placeholders. Set the severity of each event type and the points from your own policy.

Why does distance not add points?

A driver who drives more should not look worse for it. The file counts behavior events only. Compare events per 100 km on the Summary sheet when distances differ.

Can I use it with cameras from other makers?

Yes. It works from the events you log, whatever system raised them.

What if the driver disputes a clip?

Mark the event Needs review or False alarm, note the driver's comment and ask a second person to watch it. Only Confirmed events count.

Can we use clips for coaching?

Only as your camera and privacy policy allows, which your legal adviser should review. Show a clip only to the people who need it.

What is Tracom's role here?

Tracom makes the devices that record events. The playbook is a neutral tool for your own process. It does not replace your policy or a legal review.
